This Privacy Policy explains how Wellware Sole Co.,Ltd (ບໍລິສັດ ເວວແວຣ໌ ຈຳກັດຜູ້ດຽວ) (“Wellware”, “we”, “us”) collects, uses, and protects information when you visit our website, use our services, or use the WellOps mobile application.

Wellware is the data controller responsible for the personal information described in this policy, except where stated otherwise in section 15 (business software) and section 17 (self-hosted installations).
2. Information we collect
Information you give us. When you submit our contact form, request a quotation, or subscribe to a service, we collect your name, email address, telephone number, company name, and the content of your message.
Information collected automatically. When you visit our website we may collect your IP address, browser type and version, device type, operating system, pages visited, and the date and time of your visit.
Service data. If you subscribe to one of our services (WellOps, WellCF, WellConverged, WellVPN, WellNoCode, or WellChatbot), we process account credentials, configuration data, billing details, and support correspondence necessary to deliver that service.

4. Legal basis for processing
We process personal information where it is necessary to perform a contract with you, where we have a legitimate business interest in operating and improving our services, where you have given consent, or where we are required to do so by law.
5. Sharing your information
We do not sell your personal information. We share information only with service providers who support our operations (including hosting, email delivery, and payment processing) to the extent necessary for them to perform their function; with legal authorities where required by applicable law, court order, or regulatory request; and with a successor entity in the event of a merger, acquisition, or sale of assets.
6. International transfers
Some of our service providers may process data outside the Lao PDR. Where this occurs, we take reasonable steps to ensure your information receives an appropriate level of protection.
7. Data retention
We retain contact enquiries for up to 24 months. Subscription and billing records are retained for the duration of your subscription and for a further period as required by Lao accounting and tax law. Where information is no longer needed, we delete or anonymise it. Retention periods applying to WellOps account data are set out on our Account Deletion page.
8. Security
We apply appropriate technical and organisational measures to protect personal information against unauthorised access, alteration, disclosure, or destruction. All connections to our services use encryption in transit (TLS 1.2 or higher). No method of transmission over the internet is entirely secure, and we cannot guarantee absolute security.
9. Cookies
Our website uses cookies necessary for the site to function, and may use analytics cookies to understand how visitors use the site. You can control cookies through your browser settings. Disabling cookies may affect site functionality.
10. Your rights
You may request access to the personal information we hold about you, request correction of inaccurate information, request deletion where we have no continuing lawful basis to retain it, object to processing, or withdraw consent where processing is based on consent. To exercise any of these rights, contact director@wellware.net. We will respond within 30 days.
11. Children
Our services are intended for businesses and are not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.
12. Third-party links
Our website may link to third-party websites. We are not responsible for the privacy practices of those sites, and we encourage you to review their policies.
13. Changes to this policy
We may update this Privacy Policy from time to time. The revision date at the top of this page indicates when it was last changed. Material changes will be communicated to active subscribers by email.
14. The WellOps mobile application
This section applies to the WellOps mobile application (net.wellware.wellops) for Android and iOS, in addition to the sections above.
Information the app collects
- Account and authentication data — your username, authentication tokens, and session information
- Device and diagnostic data — device model, operating system version, application version, and crash diagnostics
- Push notification tokens — used solely to deliver notifications about tasks, approvals, and service messages
- Data you enter or capture — including attendance clock-in and clock-out records, photographs you take for attendance verification or proof of work, documents you upload, and task content
- Location — only where your organisation has enabled location verification for attendance, and only at the moment you clock in or out. The application does not track location in the background.
Permissions
The application requests device permissions only for features you use. Camera access is used for attendance photographs and document capture; photo library access for attaching existing files; notification access for task and approval alerts. You may decline or later revoke any permission in your device settings, though the related feature will not function.
Crash reporting
The application reports crashes and errors to a Sentry instance hosted on Wellware’s own infrastructure. Crash data is not sent to any third-party analytics provider. Personally identifying information is suppressed before transmission: request bodies, authentication headers, and user identifiers are removed, and no payroll, human resources, or accounting field values are included in crash reports.
No third-party analytics or advertising
The WellOps mobile application contains no third-party analytics software development kits, no advertising software development kits, and no advertising identifiers. We do not track you across applications or websites, and we do not sell or share your data with advertisers or data brokers.
No in-app purchases
The application contains no in-app purchases. Subscriptions to WellOps are arranged directly with Wellware under a service agreement.
Account deletion
You may request deletion of your account from within the application under More → About → Delete account, or by email. Because WellOps is business software administered by your employer, deletion requests follow the routes described on our Account Deletion page, which also sets out what is deleted, what is retained, and for how long.
15. WellOps and business customers
Where your employer or organisation subscribes to WellOps, your organisation is the data controller for the employment records held in the system, and Wellware acts as a data processor on its instructions. Your organisation determines which modules are enabled, which data is collected, and how long it is kept, subject to Lao law.
Requests relating to your employment records should be directed to your organisation in the first instance. We will assist your organisation in responding to such requests.
16. WellCF
Where a merchant subscribes to WellCF, the merchant is the data controller for its own customer and order data, and Wellware acts as a data processor. WellCF integrates with third-party social media platforms at the merchant’s direction; the handling of data by those platforms is governed by their own privacy policies.
17. Self-hosted installations
Our software may be deployed on a customer’s own infrastructure. Where this is the case, Wellware does not receive, hold, or process the data in that installation, and this Privacy Policy does not apply to it. The operating organisation is solely responsible for that data, and enquiries should be directed to that organisation.
